Front Office Scheduler

Lines of Responsibility: Under the supervision of the Business Office Manager

Classification: Non-Exempt

Job Summary: Maintains the facility’s surgery schedule and is responsible for accuracy and confidentiality of patient information.

Primary Responsibilities:

  1. Support the mission, vision, and values of the organization.
  2. Performs duties in accordance with the facility’s policies and procedures.
  3. Cognizant of patient’s rights to privacy, dignity, and confidentiality.
  4. Participates in facility committees, meetings, in-services, and activities.
  5. Responsible for efficient and accurate surgery scheduling, reception, registration, and general office duties.
  6. Responsible for accurate data entry of patient information into computer system.
  7. Responsible for verifying correct patient information upon registration on the day of surgery.
  8. Will review insurance plan details online and obtain prior authorization as needed.
  9. Responsible for chart maintenance and checking for accuracy of surgery details prior to surgery date.
  10. Interacts with surgeon offices via phone to schedule patients in an efficient and accurate manner.
  11. Work closely with the other departments within the facility to address discrepancies or to modify schedules.
  12. Adheres to medico-legal requirements when answering correspondence and inquiries.
  13. Maintains and controls the release of information to authorized persons only.
  14. Answers telephone in a kind and efficient manner.
  15. Serves as a back up for medical records department.
  16. Performs other miscellaneous office/clerical duties as needed.

Qualifications Required:

  • High school graduate or equivalent. One year of medical secretarial school with medical terminology background preferred.
  • Basic Life Support (BLS) certification
  • Basic computer skills
  • Two years of experience in a related field in the last 3-5 years preferred.
  • Cooperative and positive work attitude toward and with co-workers, management, physicians, patients, and visitors
  • Ability to promote favorable facility image with physicians, physician’s offices, patients, insurance companies, and the public.
  • Superior attention to detail and accuracy
  • Strong organizational skills and multi-tasking skills
  • Timeliness in completion of duties
  • Ability to follow instructions.

Working Conditions/Physical Requirements:

  • Potential exposure to blood and body fluids, communicable diseases, chemicals, and repetitive motions

  • I really enjoyed the people there. From the front desk when I checked in to the time I left, everyone was very caring and attentive to the things I needed. I appreciated all the smiling faces in a place that was originally very scary for me. I didn't get a chance to thank everyone but I hope they all know how much I appreciated their generosity and comfort.
